The Terms of Business Agreement sets out the terms on which WRP Tours agrees to act. It sets out our statutory obligations and identifies the responsibilities of both our guests and us.


‘We’, ‘us’ and ‘our’ means WRP Tours of 5, Milbury Gardens, Worlebury, Weston-super-Mare BS22 9BT Telephone 01934-629911, or email info@wrptours.co.uk. ‘You’ and ‘your’ means the individual guest.

Privacy Policy

We will collect personal data from you including:- your name and address, telephone number, email address, preferences, requirements, special assistance and information about your health which may affect your travel arrangements and any specific dietary requirements. Such information  will also be required for other party members in your booking including ages if under 16 years.

In most cases we will collect this information from you directly by telephone or via internet communication although there may be occasions when information is passed to us from third parties. (eg friends; colleagues; charities)

To operate our business we use both computer generated and manual systems. These are not available to any third parties and we keep these systems secure through commercial system security and good housekeeping. We will use the information held about you to communicate with you and to manage our relationship and to personise and improve your customer experience.

We use a number of third party providers (eg hotels; coach companies) when delivering our services to you. Any personal data they require will be to the extent required to allow them to provide such services to you.

We will not make any personal data available to other parties unless we have your specific consent. Once a tour has been completed we will erase in a timely fashion all person information about you though keeping email addresses to allow us to contact you ourselves to keep you informed of our latest activities.

Please advise us if you wish to be deleted from our listings.

We may use digital marketing tools (eg Google Analytics) to collect information about how users use our website. Such information will be used only to improve this site.

The General Data Protection Regulation (GDPR) gives you the right to access any personal data we hold about you. Your right of access can be exercised in accordance with the GDPR.                                                                                                                         This Policy was last reviewed 25th August 2019


We treat all information that we hold about you as private and will not share it with other parties without your express agreement. Under the General data Protection Regulation (GDPR)2018 you have the right to see such personal information that we hold in your records. We will not make your details available to other parties for marketing purposes though we may contact you ourselves to keep you informed of our latest activities. We do not have any links to other websites.

Your Obligations

It is your responsibility to provide complete and accurate information to us ensuring that statements made at the time of booking are both full and accurate. Any subsequent changes must be made to us in a timely manner.

Bookings can be made by completing our online booking form or by telephone.


You may make payment either by cheque, bank transfer, credit or debit card except Amex.

To secure the accommodation required, you can either make an initial deposit plus the balance before a specified later date or pay the full amount immediately.


Bookings taken up to 56 days prior to the event can be made with either full payment or a deposit of £100 per room. Up to and including that date, you will have 7 days from the issue of your booking receipt to cancel your booking and to obtain a 100% refund.

Cancellation Charge

Cancellations after 7 days shall incur loss of deposit only. This is to cover the cost of processing your cancellation and to compensate us for the risk that we may not be able to resell your accommodation. The amount of the cancellation charge shall depend on the date that we receive your written request - the greater the notice you give, the less you will be charged as we have greater opportunity to replace of cancel your hotel accommodation.

Written notice received by 12 weeks before the event                                                       loss of deposit only

Written notice received by 8 weeks before the event                                                         loss of deposit plus 50% of additional monies paid*

Written notice received by 6 weeks before the event                                                         loss of deposit plus 75% of additional monies paid*

Written notice received less than 6 weeks before the event                                               loss of deposit plus 100% of additional monies paid*

* If only part of a booking is being cancelled – e.g. 1 out of 2 or more rooms booked, then the refund shown refers to the accommodation being cancelled only.

The lead name on the booking form must first advise us of their request, in writing (letter or e-mail), to either 5 Milbury Gardens, Worlebury, Weston-super-Mare BS22 9BT or to info@wrptours.co.uk setting out exactly what is to be cancelled. This request must refer to the unique Booking Reference Number. Upon receipt of a cancellation request we will endeavour to respond by email within 72 hours.

Travel Insurance

We wish to make it clear that it is your responsibility to source a suitable travel insurance policy to cover the cost of an enforced cancellation of your trip, including fees paid to us as well as travel costs.

N.B.  If making a claim against your travel insurance policy and you require written confirmation of your booking, we are always willing to supply this by e-mail, free of charge, and within 72hrs.


When making this booking you warrant that you have the authority to enter into this contract on behalf of all members of your party and that you are responsible for ensuring due payment of all monies payable in the event of default by any member of the party.

Force Majeure

In the event that we are obliged to cancel your booking due to reasons of 'force majeure' we will not pay any refund and/or compensation. Circumstances amounting to 'force majeure' include any event which we or the supplier of the service(s) in question could not even with all due care, foresee or forestall such as (by way of example and not by way of limitation) war, threat of war, riots, civil disturbances, industrial disputes, actual or threatened terrorist activity and its consequences, natural or nuclear disasters, fire, epidemics, health risks and pandemics, acts of God, unavoidable and technical problems with transport for reasons beyond our control or that of our suppliers, closed or congested airports or ports, actual or potential adverse weather conditions, postponement or the cancellation of the sports event you are attending and any other similar events.
